A few weeks ago I emailed everyone in an effort to give this year's tournament structure and leadership.  Quite a few people have stepped up to those needs.  I am writing to update everyone, and highlight areas of need.  I have copied the original email and added notes, to remain consistent with the original call for help.
 
I would like to meet with everyone who is involved in planning.  Please send me a note, letting me know what day / time works for you.  Let me propose a meeting on Monday night, October 25, 7pm, at Starbucks in Winchester Center.

Original email:
Beginning immediately, we need assistance reaching out to the various clubs and leagues to spread the word.  This is primarily an emailing effort, and will require online research and email outreach.  I believe two people will be needed.
 
Steve Sharp has been emailing Massachusetts clubs regularly, and we are optimistic about the results of his work.


Beginning immediately, we need someone to start right away with ad sales in the program book.  This is a four or five person effort, contacting Winchester businesses and promoting ad space.  This is an important effort in support of the tournament.  Chris Benoit has all of last year's info available for referral.

Charlie Stackhouse, with help from Bruce Torrey and Chris Benoit, is overseeing this effort.
 
We need someone to plan, recruit and schedule the field marshalls.  This is a two person job this year, as we will be on 6 sites.

Greg Pipes is overseeing this recruitment and schedule, and he will be speaking with many of you soon.
Art Staffiere has volunteered to be the site manager for Lynch (girls venue)
Kip Garlow has volunteered to the the site manager for Leonard (boys venue)

We need two people to organize the team checkin on Friday night.  This will require recruiting 8 or 10 people to help with checkin on Friday night, Nov 12 for 2 hours.

We need someone to oversee communications.  This will involve planning our ability to communicate with one another from venue to venue via cell phones and two way radios.

We need 4 people to organize and plan concessions.  This will involve organizing concessions for each venue, as well as planning and recruiting volunteers for each site.
Ellen LeMay and Ellen Koup are overseeing this effort.
 

We need 2 people to plan equipment needs.  This will involve planning needs in coordination with field layouts, overseeing placement of the goals and flags and field signs in a timely fashion, and organizing the takedown.

I believe Ben Paul and Hugh Bennett are overseeing this effort
 
We need 2 people to plan field use.  This will involve the planning of the space, follow up for permits, and coordination with lining and equipment.
Dan FitzGerald is overseeing this effort
 

We need someone to oversee porta potties and tent rental.
Ellen LeMay is arranging porta potties
Bob Bilicki, would you mind overseeing the tent plan and rental?
 

We need two people to assist with the registration process.
Don Faber will be helping with this effort

We need two people to plan the mid day Saturday Veterans Day Activity.
We need help with this effort

We need someone to interface with referee coordinator Brian Treanor.
Gary Simon will assist with this interface

We need someone to coordinate publicity, ensuring communication with local papers, wincam, etc.

We need someone to oversee signage.  This will involve the planning of needed street directional signage, placement of street signage, and take down.

We need someone to oversee tracking of all scores during the tournament, on site and electronically.

We need someone to oversee cleanup, to include each of the 6 venues.  This will require coordinating with the town, as well as recruiting volunteers from the club to assist.

This is a big item!!
 
We need someone to oversee distribution of the trophies to the players.  This is a significant undertaking, taking place on Sunday.  It also requires some final organization of trophies on Saturday.
This can probably be done by marshalls, with volunteer help
